File sharing moves documents. Disclosure needs a process.
Most firms run disclosure through email, a shared folder or a client portal, plus a spreadsheet to keep track. It works, until a matter has 60 documents from three people over six months.
Email and file sharing compared with a disclosure workflow
| Part of disclosure | Email and file sharing | Matter Folio |
|---|---|---|
| What was asked for | Lost in emails and letters | A list of items on the matter, each with its period |
| What's outstanding | A spreadsheet, if someone keeps it | A status on every item, visible to you and the client |
| Chasing | Manual follow-up emails | Automatic reminders while anything is overdue |
| Wrong documents | A long email explaining what's wrong | Sent back on the item, with a reason the client sees |
| Files | scan0001.pdf, renamed by hand | Uploaded against the item, already labelled |
| The other side | Batches of attachments by email | Their own secure page, checked before figures count |
| What you served | Sent folders and covering letters | A register with dates and first downloads |
| Balance sheet | Figures retyped into a spreadsheet | Built from accepted documents, each linked to its source |
| Bundle | Assembled and paginated by hand | Generated with an Index to Disclosure and page stamps |
Built around the duty of disclosure
Since June 2025 the duty of full and frank disclosure sits in the Family Law Act itself, and lawyers must explain it to their clients. A process that records what was requested, what was provided and when makes that duty easier to meet and easier to prove. Read our guide to the duty of disclosure.
Less time chasing, more time advising
With Matter Folio, clients work through a clear list on their phone, reminders go out on their own, and documents arrive labelled. Staff review instead of chasing and renaming.
Clients get a better experience
Separation is stressful. A simple list that shows what's done and what's left, with plain-English instructions, takes some of that stress away.
Common questions
We already have a client portal. Why would we need this?
Portals share files. Matter Folio runs the disclosure process around them: what was requested, the status of each item, reminders, review with reasons, the other side's documents and a register of what was served.
Does it work with LEAP, Smokeball or Actionstep?
Matter Folio works alongside your practice management system. Matters, documents and exports stay organised in Matter Folio, and you can download a full export of any matter for your file.
How long does it take to set up?
A firm can be set up in an afternoon. Your first matter takes a few minutes.
