Privacy policy

Last updated 22 October 2026.

This policy explains how Matter Folio ("we", "us") handles personal information. We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Two kinds of information

Information about you, which we collect when you visit this website, fill in a form, or use the app (for example your name, email address, firm and how you use the app).

Information in matters, which law firms, their clients and the other side's lawyers upload to the app (documents and financial details). We hold and process it on behalf of the law firm running the matter, and use it only to provide the service to that firm. Questions about how a firm uses that information should go to the firm.

What we collect from the website

  • What you enter in our forms: name, email, firm, role, phone, firm size, practice management system and your message
  • Whether you agreed to receive emails, and when
  • The page you were on, the website that referred you, and campaign tags in the link you followed
  • A one-way scrambled form of your IP address, used only to stop spam (we can't recover the address from it)

How we use it

  • To reply to you, arrange demos and set up trials
  • To send the emails you asked for, such as the disclosure checklist
  • With your consent, to send occasional emails with guides and product news
  • To understand which pages and campaigns are useful, and to improve the website and the app
  • To protect the website from spam and misuse

Emails and unsubscribing

Every marketing email says who it's from and includes an unsubscribe link. Unsubscribing takes effect straight away. We may still email you about something you've asked us for, such as a demo you requested.

Cookies and similar technology

The app uses cookies that are needed to keep you signed in. The website remembers campaign tags for your visit in your browser's session storage, which is cleared when you close the tab. We don't use advertising cookies.

Where information is stored

The app's database and uploaded documents are stored in Sydney, Australia. Our email provider sends email from an Australian data centre. Some service providers we use to run the website, such as our hosting and spam-protection providers, may process limited technical information outside Australia. We take reasonable steps to make sure they protect it.

Who we share it with

We don't sell personal information. We share it only with service providers that help us run the website and the app (hosting, database, email and spam protection), when the law requires it, or with your consent.

How long we keep it

We keep website enquiries for as long as they're useful for our relationship with you, and delete them when they're no longer needed. Matters are kept and deleted according to each law firm's retention settings.

Security

We protect information with encryption in transit and at rest, two-step sign-in for firm staff, and strict separation between firms. See Security.

Access, correction and complaints

You can ask for access to, or correction of, personal information we hold about you, or make a complaint, by contacting us at our contact page. We'll respond within 30 days. If you're not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

Changes

We may update this policy. The date at the top shows when it last changed.
